Privacy Policy

The short version: The Construction Association of Saskatchewan (CASK) collects the information we need to deliver memberships, events, training, plan room, printing, contract documents, and other services to Saskatchewan’s construction industry. We don’t sell your personal information. You can ask to see or correct what we hold about you, and you can unsubscribe from our emails at any time.

1. Our commitment to your privacy

CASK is a province-wide, member-owned, non-profit industry association with offices in Regina and Saskatoon. We respect the privacy of our members, their employees, event attendees, training participants, customers, and website visitors. This policy explains what personal information we collect, why we collect it, how we use and protect it, and the choices you have.

We handle personal information in keeping with the Personal Information Protection and Electronic Documents Act (PIPEDA) and its fair information principles, and we send commercial electronic messages in keeping with Canada’s Anti-Spam Legislation (CASL).

2. What this policy covers

This policy applies to personal information CASK collects through our website (constructionsk.ca), our member portal and online forms, email, phone, in person at our offices and events, and through the programs and services we operate. It does not cover information about CASK employees, which is handled under our internal HR policies.

Personal information means information about an identifiable individual, such as a name, personal email address, or phone number. Business contact information (a name, title, business address, business phone, or business email) used to communicate with someone about their work is generally not treated as personal information under PIPEDA, but we protect it with the same care.

3. Information we collect

We collect only what we need for the purpose at hand. Depending on how you interact with us, this may include:

  • Membership: company name and address, primary and additional contacts, titles, phone numbers, email addresses, trade and business categories, regions served, website and social media links, and billing details.
  • Events and conferences: registration details, company affiliation, dietary requests or accessibility needs you choose to share, session selections, and attendance records.
  • Education and training: participant names, contact details, employer, course enrolment, attendance, and completion or certification records.
  • Plan room, bid services, and printing: account and contact details, projects viewed or downloaded, print orders, and delivery information.
  • Contract documents and online store: purchaser details, order history, and document licensing information.
  • Dispute resolution and adjudication administration: party and representative contact details and case correspondence needed to administer a matter.
  • Board, council, and committee participation: nominations, biographies, and contact details for volunteers and candidates.
  • Payments: payment amounts and transaction records. Credit card payments are processed by a third-party payment processor; CASK does not store full card numbers.
  • Website use: IP address, browser type, pages visited, and similar technical data collected through cookies and analytics tools (see section 11).
  • Communications: messages you send us, survey responses, and your email subscription preferences.

4. How we use your information

We use personal information to:

  • process membership applications and renewals, and administer member benefits;
  • publish member listings in the CASK Member Directory;
  • register you for events, courses, and programs, and issue receipts, certificates, and invoices;
  • provide plan room, printing, contract document, and adjudication administration services;
  • send you information about industry news, advocacy, events, training, and member services, where you have consented;
  • understand our members’ needs, plan programs, and represent the industry in advocacy work (using aggregated or de-identified data wherever possible);
  • administer board, council, and committee nominations and governance;
  • maintain and improve our website and systems; and
  • meet our legal, financial, and audit obligations.

If we want to use your information for a new purpose, we will tell you and, where required, ask for your consent first.

5. Consent

We collect, use, and disclose personal information with your knowledge and consent, except where the law allows otherwise. Consent may be express (for example, checking a box on a form) or implied (for example, providing your contact details when registering for an event, so we can send you event information).

You can withdraw your consent at any time, subject to legal or contractual limits, by contacting our Privacy Officer (section 15). If you withdraw consent, we may no longer be able to provide some services, and we will explain what that means for you.

6. Member Directory

As a benefit of membership, CASK publishes member company listings in our online Member Directory so project owners, contractors, and the public can find Saskatchewan construction businesses. Listings typically include company name, business address, business phone, website, business categories, and designated contacts. Members can review and update their listing through the member portal or by contacting us. You may ask us to remove an individual contact from your public listing at any time.

7. Email and electronic communications

We send two kinds of electronic messages. Transactional messages relate to something you’ve already asked for, such as membership renewals, invoices, event confirmations, and course details. Promotional messages, such as newsletters, event promotions, and partner offers, are sent only with your consent as required by CASL.

Every promotional email includes an unsubscribe link, and we process unsubscribe requests within 10 business days. You can also manage your preferences through the member portal or by emailing webuildsk@constructionsk.ca.

8. When we share information

We do not sell, rent, or trade your personal information. We share it only in these circumstances:

  • Service providers who help us operate, such as our membership management platform, email delivery service, payment processor, website host, event registration tools, and IT support. They may use your information only to provide services to CASK and must protect it to standards comparable to ours.
  • Program and industry partners where needed to deliver a program you’ve signed up for, such as a training provider, certifying body, or a national association partner. We share only what the program requires.
  • Event sponsors and exhibitors only if you have clearly agreed to it, for example by opting in during registration or having your badge scanned at a booth.
  • Legal requirements where we are required or permitted by law, such as responding to a court order, or to protect the rights, safety, or property of CASK or others.

9. Storage and processing outside Canada

Some of our service providers store or process information on servers located outside Canada, including in the United States. Information stored outside Canada is subject to the laws of that country and may be accessible to its authorities. We choose providers that commit to appropriate safeguards and contractual protections.

10. How we protect your information

We use physical, administrative, and technical safeguards appropriate to the sensitivity of the information. These include secured offices and filing, role-based access to our systems, password protection and multi-factor authentication where available, encrypted connections on our website, and staff training on privacy and confidentiality. No method of transmission or storage is completely secure, but we work to protect your information and review our practices regularly.

If a privacy breach creates a real risk of significant harm, we will notify affected individuals and report it to the Office of the Privacy Commissioner of Canada as required by law.

11. Cookies and website analytics

Our website uses cookies, which are small files stored by your browser, to keep the site working, remember your preferences, keep you signed in to the member portal, and help us understand how visitors use the site. We use Google Analytics to see aggregated information such as which pages are popular. You can block or delete cookies through your browser settings, although some parts of the site, such as the member portal, may not work properly without them.

12. Photos and recordings at events

CASK events may be photographed or recorded, and images may be used in our publications, website, and social media to promote the association and the industry. We will post notices at events where photography is taking place. If you would prefer not to be photographed, please let our staff or photographer know, or contact us afterward to request removal of an image featuring you.

13. How long we keep information

We keep personal information only as long as needed to fulfil the purposes it was collected for, or as required for legal, tax, audit, and accounting reasons. For example, financial records are kept for the periods required by the Canada Revenue Agency. When specific information is no longer needed, we securely delete, destroy, or de-identify it. Company data for members and non-members is stored for record keeping and may be used for ongoing industry priorities, events and notifications.

14. Your rights: access and correction

You have the right to ask what personal information CASK holds about you, how it has been used, and who it has been shared with. You can also ask us to correct information that is inaccurate or incomplete. Send your request in writing to our Privacy Officer. We will respond within 30 days, and there is no charge for a reasonable request. In limited cases the law allows or requires us to refuse access, such as where releasing the information would reveal someone else’s personal information; if so, we will explain why.

Members can update most company and contact details directly through the member portal.

We will investigate every complaint and respond in writing. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.

16. Links to other websites

Our website and emails may link to websites run by others, such as partners, sponsors, government bodies, and member companies. CASK is not responsible for the privacy practices of those sites, and we encourage you to review their policies.

17. Changes to this policy

We may update this policy from time to time to reflect changes in our services or the law. The updated version will be posted on this page with a new “last updated” date. If we make significant changes, we will let members know by email or through the member portal.
